This page provides information for current College of Adult Learning students including the Attendance Policy, Advising and Registration, Extensions, and the Intent to Graduate.

ATTENDANCE POLICY

In an accelerated nontraditional program, attendance in class is required.  Many of the learning outcomes for the course are achieved in the learning activities and discussion interactions of the class sessions.

If a student misses a session for whatever reason

  • The student should turn in the written assignments as originally due for that session.
  • The student should submit a written explanation to the instructor (email preferred).

THE CONSEQUENCES OF MISSING A 1st SESSION, REGARDLESS OF THE REASON

  • The course grade will be reduced by as much as a letter grade.
  • Individual instructors may have additional penalties for absences; these should appear in the Student Guide or be announced in the first class session. The student should check each course Student Guide for these additional policies.

If a student misses a 2nd session for whatever reason

  • The student should contact the CALL office to discuss their status in the class. A written explanation should be submitted.
  • Repeated absences not only jeopardizes the learning experience but eligibility for Financial Aid as well.

THE CONSEQUENCES OF MISSING A 2ND SESSION, REGARDLESS OF REASON

  • Upon contacting the CALL Office, the student will be advised to drop the class. If no contact is made, the student will remain enrolled and the student will receive a failing grade for the course. In either case, the student should enroll for the class at a later date.
  • The Call staff will determine options on a case-by-case basis. If the explanation is determined to be extraordinary and circumstances of timing, instructor, and course structure allows, a makeup option may be allowed. This option is rare and should not be considered a “best” option.

If the makeup option is granted:

  • The student must continue to turn in written assignments as originally due for all sessions.
  • The student must file for an extension with the Registrar’s Office, paying the $35 fee to complete the extension application. The extension is not official until payment is made.
  • The student must 1) complete all makeup work as determined by the instructor or 2) attend the corresponding session missed at the appointed date (next available session of the course) set by the CALL staff.

No show/No call

  • When a student misses the 2nd time in a course without any contact to the professor or the CALL office, the student will fail the course.
    • The student is still financially responsible for the course.
  • When a student misses the 2nd consecutive class in a course without any contact to the professor or the CALL office, the student will fail the course and risk being dropped from the term.
    • The student is still financially responsible for the course or courses
    • Appropriate refunds will be made according to the printed schedule of refunds.
    • The student can submit written request to the Registrar to be reinstated for the next term.  The request will be reviewed by the Academic Standards Committee.

ADVISING/REGISTRATION

We want to encourage you to be proactive in meeting regularly with a CALL academic advisor. Judy Pratt and Aaron Burgess are available to perform transcript reviews and help you plan your schedule for a timely graduation. Before you schedule a time to meet with an advisor please familiarize yourself with the following responsibilities:

The responsibilities of the student in the advising process:

  • The student needs to establish academic goals and formulate a plan to achieve those goals.
  • The student should become informed of the requirements for the academic program as well as for the core curriculum.
  • The student should be aware of important dates, policies, and procedures as outlined in the College catalog, Student Handbook, and Schedule of Classes.
  • The student should initiate appointments with the advisors prior to registration and should come prepared with a tentative schedule to support academic goals.
  • The student has the responsibility to inform the advisor of any changes to the schedule that deviate from the schedule agreed upon at the time of registration clearance.
  • The student should meet with the advisor to complete the intent to graduate form and do a final audit to be submitted to the registrar.


The role of the advisor in the advising process:

  • To guide the student in development of a degree completion plan and to monitor the academic progress toward completion of the degree.
  • To assist the student in making a realistic self-appraisal of academic potential in choosing an academic program of study.
  • To be a source of information to help the student choose courses that will move them toward established goals.
  • To be a source of referral to services provided for students on campus.
  • To remain current and knowledgeable with all College curriculum, academic policies and procedures.
  • To meet with the student prior to each registration period to discuss course options and to update the student file

EXTENSIONS

A grade extension is a grade marked on the student’s transcript as “E” and more correctly stands for “extension of time.” This is an interim grade that may be requested by students who, due to extenuating circumstances, need additional time to submit written work after a course has ended.  Instructors may approve or deny a request for an extension of time in accordance with their grading policies. Students who owe a substantial amount of work should not request an extension of time; rather, they should withdraw from the course by the stated deadlines.

The student should discuss with the instructor the need for a request before the last day of class.  If the instructor agrees, the student should proceed with making an official request using the Grade Extension Form.  It is inappropriate for a student to expect an instructor to award a grade extension or allow more time for late work to be completed.  Lying to an instructor about the need for an extension is also unethical.

Extensions for CALL classes shall be no longer than five weeks.  If after five weeks the course is not completed the instructor will change the grade to an F and the course will have to be retaken.

NOTE:  If you delay in making your request official and the instructor submits grades, a grade of “F” will appear on the student transcript until the extension request and fee payment is officially accepted in all offices.  The “F” stands until the work is completed and the grade is changed.


ACCEPTABLE REASONS FOR REQUESTING A GRADE EXTENSION:

  • Major documentable personal illness, requiring hospitalization or surgery.
  • Authorized University activities.
  • A death in the immediate family.

UNACCEPTABLE REASONS FOR REQUESTING A GRADE EXTENSION:

  • Minor illness such as flu or cold.
  • Personal or work travel/responsibilities.
  • Inability to stay current on course work.

HOW TO REQUEST A GRADE EXTENSION:

In Person

  • Request a Grade Extension Form from the Registrar’s Office (located in Presidents Hall).
  • Have the instructor sign the form granting approval of the extension.  If necessary, the Registrar’s Office can assist in obtaining the signature.
  • Members of the CALL staff will no longer facilitate the request of an extension.  This has to be done with the instructor and the registrar’s office.
  • Submit payment of the extension fee of $35 with Student Financial Services (or verify available funds on your student account).

By Phone

  • Request a Grade Extension Form by calling the Registrar’s Office, who will assist in completing the form, including obtaining the instructor’s signature.
  • Your call will be transferred to the Student Financial Services Representative to make arrangements to pay the extension fee or to verify that funds are available on your student account.

INTENT TO GRADUATE

Students planning on graduating need to complete an Intent to Graduate form. By filing the Intent to Graduate form, students ensure they are awarded their specific degree and have met the requirements for graduation. If you are planning on graduating in December, your form is due in May. If you plan on a May graduation, your form is due in October. Students must complete and submit an Intent to Graduate form with the Registrar’s office by the posted date on the form.

There is a fee associated with filing an intent to graduate form. Filing this form will initiate an official audit from the registrar detailing what classes you need to complete in order to graduate. If you have questions about the form please contact the Office of the Registrar.
